The Reporting & Learning Anchor plays a critical role in strengthening how Madhi documents progress, captures insights, and drives process discipline across programme teams. This role sits at the intersection of programme execution, donor engagement, organisational learning, and cross-team coordination, enabling smoother decision-making and stronger institutional memory.

The Job Description

In this role, your responsibilities will include:

Reporting & Documentation

  • Collaborate with internal programme team to co-create proposals entailing programme design, budgets, compliance requirements, and Gantt charts.
  • Coordinate with internal teams to collate high-quality inputs for donor conversations and reports
  • Document discussions, feedback, and action points from potential donor meetings to strengthen institutional memory and support continuity.
  • Collate pre-reads and presentation materials for Advisory Board Meetings (ABM)
  • Support ongoing communication with potential donors by ensuring timely sharing of updates, documentation, and follow-up information.

Learning & Insights

  • Capture and synthesise insights emerging from donor conversations, field visits, Progress to Goals discussions, and Stepback meetings.
  • Feed learnings back into reporting formats, proposal design, programme planning documents, and donor materials.
  • Maintain updated documentation on decisions, reflections, and next steps to support organisational learning.
  • Strengthen organisational memory systems by ensuring data, insights, and updates are consistently kept current.

 Project Tracking

  • Track the Progress to Goals calendar and ensure meetings are scheduled and conducted in the first week of every month.
  • Coordinate with PTAs and CFTs to ensure ClickUp updates are completed before and after Progress to Goals meetings.
  • Review updates on project management tool for completeness and follow up with teams to close gaps or pending actions.
4. Process Orientation & Coordination
  • Support on-ground coordination during field visits by liaising with programmes, operations,
    and donor teams.
  • Ensure process discipline across donor engagement cycles, Progress to Goals rhythms, Stepback
    timelines, and ABM preparation.
  • Work closely with internal teams (PTAs, CFTs, donor engagement leads) to maintain cross-team
    alignment and smooth execution.
  • Uphold documentation and process standards that improve efficiency, transparency, and
    coordination across the organisation.

Mandatory prerequisites include:
  • 0–2 years of experience in programme support, reporting, monitoring & evaluation, documentation,
    or a related function.
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Comfort working with documentation tools, project trackers, and productivity systems (ClickUp
    experience is a plus).
  • High degree of professionalism, reliability, and ownership.
  • A strong alignment with Madhi’s mission and values.
  • Ability to bring your own laptop with updated software (MS Office 2016).
