Job Description
Role: Associate Travel Coordinator
Location: Bengaluru
Weekly schedule: Monday to Friday (45 hours)
Hybrid/On-site
Intro:
The Travel & Expense Coordinator is responsible for managing all aspects of booking, organizing, coordinating, both international and domestic travel for employees as well as assisting with processing expense reports and accounting reconciliation. You will be part of the team which collaborates with Employees, HR Mobility and Finance teams for ensuring travel safety and program compliance on an as-needed basis.
Some of the things you'll be doing:

  • Plan and book all details of travel, including flights, accommodations, and ground transportation, aligning with employee preferences, company policy, and budget constraints
  • Stay informed of international and domestic travel regulations, including visa requirements, health advisories, and customs regulations, and communicate relevant information to traveling employees
  • Manage travel emergencies or changes, including cancellations, rescheduling, and last-minute bookings, ensuring minimal disruption to travel plans
  • Provide individual training on online booking tools and expense reconciliation tools to employee users
  • Maintain accurate and up-to-date travel records and documentation, including itineraries, receipts, and expense reports
  • Provide travelers with pre-travel guidance and support, including travel tips, destination information, and safety advisories
  • Monitor travel expenditures and provide reports to management on travel spending, savings, and policy compliance
  • Collaborate with the HR department to ensure travel policies are current and effectively communicated to all employees
  • Develop and maintain strong relationships with travel vendors and service providers
  • Assist in the development and implementation of travel policies and procedures to improve efficiency and reduce travel-related costs


What technical skills, experience, and qualifications do you need?

  • 4 years of proven experience as a Travel Executive, Travel Coordinator, or similar role, with a strong understanding of travel booking systems and finance procedures
  • Excellent organizational and time-management skills, with the ability to handle multiple tasks simultaneously and meet tight deadlines
  • Excellent communication and interpersonal skills, with the ability to interact effectively with all levels of staff and travel service providers
  • Proficiency in travel management software and Microsoft Office Suite
  • Knowledge of spend account reconciliation, forex card administration
  • Good team player and proactive in resolving issues and improving T&E processes
