Position Profile
As the Executive Assistant to the Senior Vice President, Operations, you will provide high-level administrative and operational support in a dynamic, fast-paced environment. Acting as a trusted partner, you will ensure seamless coordination of priorities and deliverables while embodying CAE’s core values.
Key Responsibilities
Serve as the primary point of contact for the SVP Operations, managing communications with professionalism and discretion.
Coordinate calendars, meetings, and priority activities, ensuring alignment with organizational goals.
Prepare reports, maintain agendas, and manage priority lists with exceptional attention to detail.
Organize travel arrangements and process related expense reports promptly.
Oversee assigned projects and special events, demonstrating flexibility and adaptability.
Support the preparation of the department’s annual budget and monitor monthly performance.
Create and maintain high-quality documents and presentations using Microsoft Office Suite (Excel, Word, PowerPoint), ensuring visual appeal and clarity.
Handle confidential documents with the utmost integrity and discretion.
Be available during critical periods (e.g., Board meetings etc...) to ensure timely delivery of key outcomes.
Leverage Copilot to streamline administrative tasks, draft and proofread documents, create visually appealing presentations, and optimize workflows for maximum efficiency.
Perform other related duties as required, going the extra mile to support organizational success.
Qualifications
College or vocational diploma in secretarial studies, or an equivalent combination of education and experience.
Minimum five years of experience as an executive assistant supporting senior leadership.
Highly self-driven, dependable, and dynamic, with strong organizational skills and the ability to thrive under pressure.
Strong interpersonal skills and a positive, personable attitude; demonstrates kindness, empathy, and respect at all levels of the organization.
Excellent listening skills, combined with outstanding verbal and written communication abilities.
Proven ability to prioritize tasks, solve complex problems, and adapt quickly in a fast-paced environment.
Strong sense of responsibility and pride in delivering high-quality work.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfortable using digital productivity tools like Microsoft Copilot to enhance efficiency and collaboration.
Flexible and willing to adjust during non-standard hours when critical deliverables require attention.
Bilingual (French and English), with exceptional attention to detail in both languages.
