OVERVIEW
The Executive Assistant provides high quality administrative, operational, and communication support to the Senior Leadership Team (SLT). The SLT is primarily located in the United States and the role requires strong coordination across time zones, disciplined follow through, and the ability to manage sensitive information with complete confidentiality. This position is central to ensuring the effectiveness, efficiency, and rhythm of the leadership team.
KEY TASKS & RESPONSIBILITIES
Executive Support
- Manage complex, high-volume calendars for SLT members.
- Coordinate meetings, logistics, and travel across US and India time zones.
- Prepare agendas, briefing materials, and post-meeting action summaries.
Operational Coordination
- Track deliverables, deadlines, and follow ups for SLT commitments.
- Coordinate quarterly business reviews, offsites, and global leadership meetings.
Communication and Documentation
- Draft and edit executive level communications and presentations.
- Maintain the highest level of confidentiality with all information accessed.
- Facilitate timely information flow between India based teams and US based SLT.
Process and Systems Management
- Maintain org charts, shared drives, distribution lists, and leadership documentation.
- Improve administrative processes by adopting modern productivity and AI tools.
- Support onboarding and coordination activities for new leaders.
Stakeholder Interaction
- Engage professionally with internal leaders, clients, and external partners.
- Represent the SLT with responsiveness, clarity, and professionalism.
Education & Experience
- 8 to 10 years of experience supporting senior executives in global or fast paced environments preferred.
- Strong written and verbal communication skills.
- Expert level proficiency in Microsoft 365, Teams, Zoom, and related tools.
- Proven ability to work effectively across time zones with flexible hours when needed.
- Strong organizational discipline and attention to detail.
- Demonstrated ability to handle confidential information with discretion.
Preferred Qualifications
- Experience working in life sciences, technology, or global enterprise environments preferred.
- Prior experience supporting US based executives.
- Comfort with AI enabled productivity tools and modern workflow automation.
- Basic project coordination experience.
