ABOUT THIS ROLE
Apex Fintech Solutions is seeking a detail-oriented, proactive, and customer-focused individual to join our team as a Lead Client Onboarding Specialist (Institutional). This role requires a seasoned professional with expertise in onboarding institutional clients in the financial services industry. As the Lead Onboarding Specialist, you will oversee the end-to-end onboarding process for new clients, ensuring compliance with regulatory standards and industry best practices while delivering exceptional client experiences. You will support a team of onboarding specialists, streamline processes, and serve as a key liaison between internal teams and clients during the transition to our platform and services.
Duties/Responsibilities
Lead the onboarding process for institutional firms, educating and answering their questions, communicating timelines, identifying blockers and escalating with stakeholders when necessary, resulting in quick resolution and absence of ambiguity.
Establish and maintain strong relationships with clients, sales, relationship management, service and the internal onboarding teams so that all stakeholders are aware where new clients are in their onboarding journey.
Guide and support clients through the onboarding process utilizing knowledge of advisor firms’ expectations for onboarding with new custodians creating trust and confidence with Apex.
Liaise with key platform partners (Orion, Advyzon, Docupace, AdvisorArch, etc) on shared onboarding processes eliminating risk and delays for firms as they onboard.
Coordinate with the Apex onboarding team, and platform partners’ teams, to ensure technical setup is flawless.
Develop and maintain an "at-a-glance" dashboard to provide the institutional and Onboarding leadership teams with up-to-date information on the onboarding journey of every client.
Education and/or Experience
Bachelor’s degree in business administration, finance, or a related field (or equivalent work experience) required
5+ years of experience in client onboarding in a financial services or broker-dealer environments. Experience leading teams is preferred
Deep knowledge of the client firm's onboarding expectations with new custodians and a proven track record of successful firm transitions
Experience managing complex projects involving multiple technology vendors
FINRA SIE and Series 99 or Series 7 required within 6 months of hire; Series 7 License preferred

Excellent project management, organizational and communication skills – attention to detail is a must
Strong relationship-building skills, with the ability to establish trust and credibility with clients and internal teams
Exceptional communication and interpersonal skills
Technical acumen and ability to quickly learn new technologies

This job operates in a hybrid, office environment
This role will require up to 20% travel

Salary Range
$100,800-$126,000The annual base salary range for this position is noted above. Exact compensation offered may vary depending on job-related knowledge, skills, experience, and office location.
