Senior Associate 3 – Real Estate – Lease Administration

Mumbai/Pune/Hyderabad/Bangalore - India

Shift Timings - 11.00 AM – 8.00 PM (Time may Vary with requisition of the HOD / Manager)

The successful candidate will join the Retransform BPM – Lease Administration team as a Process Associate, supporting activities related to the administration of commercial properties. The candidate should have a solid understanding of real estate leasing practices in regions such as the US, Australia, and the Middle East, along with familiarity with relevant terminology. Strong knowledge of lease concepts and experience with commercial real estate management software is essential.

Job Specification

  • Responsible for Reviewing, overseeing and tracking the Lease Admin processes.
  • Act as the final reviewer for lease abstracts, reconciliations, and lease-related deliverables, ensuring accuracy, completeness, and compliance with client-specific instructions.
  • Lead and manage project execution, ensuring timely delivery of tasks, accurate reporting, and alignment with client scope of work (SOW) and service-level expectations.
  • Create and manage monthly activity calendars and due-date trackers and ensure that all deliveries are completed and reviewed within timelines.
  • Assist in the creation, updating, and implementation of process documents, SOPs, checklists, due-date lists, and templates based on client updates and project requirements.
  • Coordinate with clients and internal teams, acting as the primary point of contact for queries, updates, escalations, and progress reporting.
  • Support team management by assigning tasks, updating project management systems (PMS), tracking progress, and preparing consolidated client communications and query logs.
  • Assist in onboarding new projects by designing process flows, planning resource allocation, and ensuring proper documentation and tracking mechanisms are in place.
  • Contribute to audit responses, including preparing explanations and documenting actions taken to prevent recurrence of reported issues.
  • Facilitate cross-training and backup plans for team members and provide coverage for critical tasks during leaves or peak periods.
  • Take ownership of monthly, quarterly, and annual closure processes, ensuring all activities are completed, reconciled, and properly filed.
  • Maintain a clean and structured client folder system, ensuring version control, naming conventions, and access protocols are followed.
  • Identify opportunities for process improvement, automation, or documentation enhancements and raise them for discussion with senior leadership.
  • Provide timely feedback and support to juniors for timely and accurate deliverables.
  • Other duties as assigned.

Skills Required

  • Graduate/Postgraduate in Commerce, MBA Finance, CFA
  • 5 to 7 years of experience
  • Good knowledge of Yardi/MRI software
  • To have understanding on US Real Estate industry
