The role

This is our first dedicated finance operations hire. Today, our finance runs on an outsourced accounting firm plus leadership time. Your job is to bring that work in-house and own it. You'll work directly with our Bay Area finance leader as their right hand across everything money touches: paying our bills, invoicing our customers, supporting deals, and owning compliance for both our US and India entities.

This is a role with unusual surface area. You'll see how a fast-growing US AI startup actually runs, from deal to invoice to cash to close, and grow with it. We care more about sharpness, speed of learning, and ownership than years of experience.

Key responsibilities

  • Bill pay and vendor management: Own the AP cycle for the US and India entities. Vendor onboarding (W-9/W-8, GST details), invoice processing, approval routing, and payment runs. Vendors paid on time, records audit-ready.

  • Customer invoicing and AR: Issue invoices from signed order forms, maintain billing schedules, track aging, follow up on collections, and apply cash. Submit and track invoices through customer procurement portals such as SAP Ariba and Coupa.

  • Deal desk support: Review order forms for billing terms, set up new customers, keep the renewals calendar in HubSpot, and be the bridge from Sales to Finance.

  • Month-end close: Prepare reconciliations, accrual schedules, and supporting workpapers in Rillet. Work with our external accountants and progressively take close tasks in-house.

  • Investor reporting: Build the data behind monthly investor updates and board materials: KPI schedules, spend and cash reporting, and runway tracking. Keep Carta clean and turn around investor data requests fast.

  • US compliance: Own the US compliance calendar with our tax advisors: 1099 preparation, Delaware franchise tax, state registrations, sales tax filings via Anrok, and annual report deadlines. Cover employment-side compliance through Rippling (state payroll registrations, workers' compensation) and track business insurance renewals (D&O, E&O, cyber). Nothing gets missed.

  • India compliance: Own the India entity's statutory calendar with our local firm: GST returns, TDS deposits and returns, and MCA/ROC annual filings. Cover employment compliance (PF, ESI, professional tax, gratuity, shops and establishments) and manage the group health insurance renewal.

  • Everything else finance: Expense management, payroll inputs, banking hygiene, and ad hoc reporting for leadership. If it's finance ops and on someone else's plate today, it's yours tomorrow.

Must have: apply only if all of these are true

  • 3–6 years running finance and accounting operations for US clients or a US company (Big 4 offshore center, F&A services firm, or a US startup's India team), with a commerce or finance degree (C.A., B.Com, M.Com, or MBA).

  • You have personally owned AP or AR for a US entity: processed the invoices, ran the payment cycles, chased the collections. Supporting someone who did does not count.

  • Working knowledge of US compliance (1099s, franchise tax, sales tax concepts) and India statutory compliance (GST, TDS).

  • Daily hands-on use of QuickBooks, NetSuite, Rillet, or a comparable GL, plus strong Excel or Google Sheets.

  • Excellent written English. Most of our communication is async and written.

  • Based in India and comfortable with late-evening or early-morning IST calls each week with stakeholders across time zones.

Strong pluses

  • Our stack: Rillet, Brex, Rippling, Carta, Anrok (sales tax), HubSpot, and Tally.

  • Enterprise AR and procurement portals such as SAP Ariba and Coupa.

  • SaaS billing experience: subscriptions, renewals, usage-based invoicing.

  • Investor or board reporting exposure.

  • Experience moving work in-house from an outsourced accounting firm.

Working hours

This is a remote, full-time role based in India, employed through our India entity. You'll mostly work India hours and own your patch end to end. You'll report to your manager in the Bay Area and should expect late-evening or early-morning IST calls each week with stakeholders across time zones.

Compensation


₹20–30 LPA CTC, plus employee stock options (ESOPs). Final compensation will be based on the candidate's experience, demonstrated capabilities, interview performance, and the scope of the role, while ensuring alignment with internal compensation practices.
