Key Responsibilities
• Support case closeout in Clio, including moving files to refund or collections stage with accurate documentation.
• Perform case review administration and maintain billing-relevant accuracy of case files inside Clio.
• Complete data entry tasks tied to active cases, intake records, and billing hand-offs.
• Receive, track, and complete billing- and case-related tasks assigned by Account Representatives through HubSpot, the firm's central tasking system.
• Schedule case strategy sessions for clients in trial mediation or with high-debt case profiles.
• Handle calendaring for assigned Account Representatives, including confirming and adjusting appointments.
• Assist with scanning and digitizing client and case documentation.
• Provide backup coverage for the main receptionist and other duties as needed
Qualifications:
Required Qualifications:
• One or more years of experience handling high volume data entry roles that required a high level accuracy accountability.

• Strong verbal and written communication skills.
• Intermediate skills with MS Office or Google Workspace (Gmail, Documents, Sheets, Calendar, Drives, etc).
• Solid data entry skills and comfort with high volume and accurate entries.
• Ability to follow structured workflows and complete assigned tasks without close supervision once trained.
• Reliability and punctuality — this role directly supports revenue-generating case teams.
Preferred Qualifications:
• Prior administrative experience in customer service, or legal-support office experience.
• Familiarity with CRM or case management software (e.g., HubSpot, Cleo, or similar platforms).
