Job Description

Purpose of the role

To manage the executive's schedule, handling correspondence, preparing presentations and reports, and providing other administrative support as needed. 

Accountabilities

  • Management of senior executive members calendars and overseeing their timely responses to meeting invitations and requests.
  • Planning and arranging travel itineraries, including flights, accommodation, and ground transportation, ensuring timely and efficient travel for the executive.
  • Proactively anticipating the needs of the senior executive, prioritising tasks, and ensuring timely completion.
  • Management of day-to-day administrative tasks, such as expenses, maintaining filing systems, and ordering office supplies, annual leave records management, distribution list management and organisation management tasks.
  • Management and facilitation of senior executive members meetings.

Step into the role of Executive Assistant at Barclays, where you'll play a pivotal role in shaping the future. In this pivotal role you will manage operations within a business area and maintain processes, risk management initiatives, and compliance with relevant regulators. You will take ownership of your work, ensuring it aligns with the relevant rules & regulations, and codes of conduct.

 You will support senior executives by managing complex calendars, travel, communications, and administrative priorities to ensure smooth day-to-day operations. The role requires proactive coordination, stakeholder management, and high standards of execution within a banking/MNC environment.

You may be assessed on key critical skills relevant for success in role such as:

  • Manage senior executives’ calendars, meetings, and correspondence, ensuring timely responses and prioritisation.

  • Plan and coordinate domestic and international travel, including flights, accommodation, visas, and ground transport.

  • Support executive meetings through scheduling, preparation, documentation, and follow-ups.

  • Handle day-to-day administrative tasks such as expenses, records management, filing systems, and office coordination.

  • Liaise with internal and external stakeholders, providing effective support and maintaining strong working relationships.

Desirable skills set:

  • Expert proficiency in Outlook, calendar management tools, and travel/expense systems.

  • Strong written and verbal communication skills with the ability to handle sensitive information.

  • Proven experience as an Executive Assistant, preferably in MNCs and the banking/financial services sector.

  • Highly organised, proactive, and able to manage multiple priorities with minimal supervision.
