We are looking for a highly organized and proactive Office Manager to oversee daily office operations, ensure smooth workflow, and support the management team. The ideal candidate should have excellent communication skills, problem-solving ability, and strong attention to detail.

Key Responsibilities

Office Operations

  • Manage day-to-day office activities and ensure smooth functioning of all departments.
  • Oversee maintenance, housekeeping, and facility management.
  • Monitor inventory of office supplies and coordinate procurement.
  • Manage vendor relationships (housekeeping, IT support, maintenance, etc.).

Administrative Support

  • Provide administrative support to management and staff.
  • Prepare reports, emails, meeting minutes, and documentation as required.
  • Coordinate internal meetings, visitor management, and scheduling.

Team & Client Coordination

  • Assist in onboarding new employees (ID cards, seating arrangements, system setup).
  • Coordinate with clients and ensure their operational requirements are met.
  • Support HR and operations for employee engagement activities.

Facilities & Infrastructure

  • Supervise office equipment, IT setups, and necessary repairs.
  • Ensure safety protocols, security systems, and compliance requirements are followed.
  • Oversee workstation allocation and office layout planning.

Financial & Reporting

  • Handle petty cash, vendor invoices, and budget tracking.
  • Maintain records of expenses, inventory, and office logs.
  • Prepare monthly operational reports for management review.


Requirements
  • Bachelor’s degree in Business Administration or related field.
  • 2–5 years of experience in office administration or facility management.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Ability to multitask and prioritise tasks effectively.
  • Problem-solving mindset with attention to detail.

  • Experience in coworking or facility management environment.
  • Knowledge of procurement and vendor management.
  • Ability to work independently and handle urgent tasks efficiently.
