Senior Associate 2 – Real Estate – Lease Administration

Mumbai/Pune/Hydrabad/Banglore - India

Shift Timings - 11.00 AM – 8.00 PM (Time may Vary with requisition of the HOD / Manager)

The successful candidate will join the Retransform BPM – Lease Administration team as a Process Associate, supporting activities related to the administration of commercial properties. The candidate should have a solid understanding of real estate leasing practices in regions such as the US, Australia, and the Middle East, along with familiarity with relevant terminology. Strong knowledge of lease concepts and experience with commercial real estate management software is essential.

Job Specification

  • Responsible for Reviewing, overseeing and tracking the Lease Admin processes.
  • Review and interpret lease documents, amendments, and agreements, abstract key financial and non-financial terms into lease administration systems.
  • Set up new leases and maintain existing lease data in platforms like Yardi, MRI, Lucernex, or Harbor Flex, ensuring consistency and accuracy.
  • Maintain and track critical dates such as lease expirations, renewals, rent commencement, termination rights, and option notices. Ensure timely alerts and escalation as needed.
  • Track, monitor, and update tenant insurance compliance. Coordinate with tenants or brokers for renewal and validation of COIs.
  • Monitor and track tenant-reported gross sales where applicable (especially in retail portfolios), validate against lease terms for percentage rent applicability.
  • Review and process utility invoices, allocate charges as per lease terms, and prepare bill-back calculations to tenants.
  • Interpret lease terms related to recoveries; assist in preparing annual reconciliation reports and respond to tenant inquiries.
  • Assist in drafting estoppel certificates and Subordination, Non-Disturbance, and Attornment Agreements (SNDAs) based on lease data and client templates.
  • Generate lease abstract reports, rent rolls, and custom client reports as required. Maintain audit-ready documentation and backup for all lease records.
  • Conduct peer reviews of lease abstracts, support SOP updates, and identify process improvement opportunities for efficiency and accuracy.
  • Other duties as assigned.

Skills Required

  • Graduate/Postgraduate in Commerce, MBA Finance, CFA
  • 3 to 4 years of experience
  • Good knowledge of Yardi/MRI software
  • To have understanding on US Real Estate industry
