Messaging admin is responsible for managing, configuring, and supporting the organization's Office 365 environment. They ensure that the various services within Office 365 run smoothly, securely, and efficiently. This role involves overseeing user management, licensing, security, compliance, and service health, among other tasks.

Key Responsibilities:

User and License Management:

  • Add, modify, or remove user accounts and groups.
  • Assign or revoke Office 365 licenses and manage subscriptions.
  • Implement and manage security policies for user accounts (such as Multi-Factor Authentication).
  • Reset user passwords and troubleshoot user login issues.
  • Ensure the correct configuration of roles and permissions for different users within the organization.

Service Configuration and Management:

  • Configure and manage key Office 365 services, including Exchange Online, SharePoint, Microsoft Teams, and OneDrive for Business.
  • Administer mail flow rules, distribution groups, and shared mailboxes in Exchange Online.
  • Configure site collections and libraries in SharePoint and manage permissions.
  • Administer Teams settings, channels, policies, and external sharing settings.
  • Manage OneDrive for Business storage and sharing options.

Security and Compliance:

  • Implement and monitor security policies to safeguard organizational data.
  • Set up and manage data loss prevention (DLP) policies, retention policies, and encryption settings.
  • Enforce compliance with industry standards and regulations (e.g., GDPR).
  • Configure and monitor threat management settings, including spam and malware filtering.
  • Conduct audits and investigations, analyze audit logs, and track security incidents.

Collaboration and Communication Management:

  • Oversee communication tools like Exchange Online for email services, Microsoft Teams for collaboration, and Skype for Business (if still in use).
  • Set up and manage shared calendars, meetings, and Teams conferences.
  • Enable and manage collaboration tools for file sharing, document collaboration, and content management.

Service Health Monitoring:

  • Regularly monitor service health and ensure the Office 365 environment is operational and secure.
  • Respond to service disruptions, outages, or degraded performance and communicate with users.
  • Implement preventive measures to avoid service interruptions.

Troubleshooting and Support:

  • Provide technical support for users, including resolving issues related to login, access, and service outages.
  • Troubleshoot complex Office 365 issues, collaborating with Microsoft support if necessary.
  • Respond to helpdesk tickets and provide solutions in a timely manner.

Backup and Recovery:

  • Configure data backup and restore strategies for Office 365 data (e.g., Exchange, SharePoint).
  • Ensure disaster recovery procedures are in place for critical data.

Training and Documentation:

  • Provide training and support for end-users to maximize productivity with Office 365 tools.
  • Create and maintain documentation related to configurations, procedures, and best practices for Office 365 administration.

Integration and Customization:

  • Manage and integrate third-party applications with Office 365 tools.
  • Customize the user experience by configuring templates, permissions, and settings within SharePoint and other Office 365 apps.

Reporting and Analytics:

  • Generate reports on usage, security, and compliance of Office 365 services.
  • Review analytics and usage data to ensure optimal utilization of resources.
  • Provide recommendations for improvements based on system performance and usage trends.

Skills and Qualifications:

Technical Skills:

  • In-depth knowledge of Office 365 services (Exchange Online, SharePoint, OneDrive, Teams, etc.).
  • Familiarity with PowerShell for automating administrative tasks in Office 365.
  • Experience with Active Directory, Azure AD, and Power Platform.
  • Strong understanding of security and compliance features within Microsoft 365.
  • Knowledge of networking and cloud computing principles.

Troubleshooting Skills:

  • Strong problem-solving abilities for diagnosing and resolving user and service issues.
  • Ability to interpret logs and service alerts for troubleshooting.

Communication Skills:

  • Ability to clearly communicate technical issues and solutions to both technical and non-technical staff.
  • Provide training and support to end-users.

Project Management Skills:

  • Ability to handle multiple tasks or projects concurrently, often under tight deadlines.
  • Experience in managing upgrades, migrations, and deployments related to Office 365.

Security and Compliance Awareness:

  • Understanding of compliance standards and frameworks such as GDPR, HIPAA, and SOC.
  • Ability to enforce data protection and privacy policies across Office 365 applications.

Certifications (Optional but Beneficial):

  • Microsoft Certified: Security, Compliance, and Identity Fundamentals
  • Microsoft Certified: Azure Administrator Associate
  • Microsoft Certified: Office 365 or Microsoft 365 Certified Enterprise Administrator Expert

Experience:

  • 2+ years of experience in managing Office 365 or Microsoft 365 environments.
  • Experience in Proofpoint and Biscom Fax.
  • Experience with managing cloud-based services and infrastructure.
  • Experience working with Microsoft support to resolve issues when necessary.
